1st online meeting – KICK-OFF MEETING

Getting to know each other – partners introduced each other, exchanged their so far gained experiences in projects; talked about their institution profiles and fields of work.

Points discussed during the meeting:

a presentation has been delivered by Osmangazi Ilce Milli Egitim Mudurlugu (Turkey) representative Oya Gürel, summerizing the main points of the project: objectives, activities, outputs

a Google drive folder has been cretaed where the presentation as well as all relevant project related documents will be shared and made available for all partners. For all details concerning the activities and budget related questions partners should act according to the project application form, also available in the GD folder.

CROATIA
5 – 7 April, 2022 – KICK-OFF MEETING

Main points of the project have been discussed more detailed:

Partners' responsibilities as written in the project application form

Partners' contribution to project results – Intellectual outputs (IOs)

The pesticide application surveys had been finished and uploaded to the shared GoogleDrive by all partners.
-
Budget lines and instalments transfer have been once again discussed, as well as Partnership Agreements.
-
The Italian partner INSTITUTO OMNICOMPRENSIVO „FRATELLI AGOSTI“, Bagnoregio presented their work done so far concerning IO1 – E-learning platform. According to their presentation, all partners agreed that the task is not completed and therefore came to the following conclusion and agreed with the Italian partner as follows:

IOFA is to deliver a new version of e-learning platform (provide form and content) by the end of April 2022. The e-learning platform has to be done as an interactive LMS and contain 4 modules as written in the application form
-
Templates such as headed paper with project logo, Time sheets and visibility materials have been uploaded and shared by the coordinator to Google Drive folder.
-
IO2 (Preparing framework for good practice application) will be done by Bilecik Universitesi by the end of 2022 (December 2022). A rough draft has been proposed by the responsible partner and will be further developed as agreed.

Also a rough draft of IO3 (Good farming practices Mobile application) has been discussed and proposed. The responsible partner for IO3 is URE (Urban Research and Education). Partners discussed main points such as relevant IT, managing and technical features of the application.



TURKEY

Points discussed:

After opening ceremony and welcome speech of OMEM's manager Gurhan Cokgezer, Agenda has been presented by the host.

The following points and decisions have been discussed and made:
IO1
-
IOFA, Italy (Danilo Calabrese) has once again presented the IO1 content.
-
Discussion about registration on the platform – registered users only can take quizzes and issue a certificate after all tasks completion; the content of platform must be available in Turkish, Italian, German, Romanian and Croatian language;
-
All necessary changes, final updates and work on the platform (technical and visual changes, references, HP5 files, user registration) shall be done and finished by end of September 2022.
Financial management
-
Partner Agreement has been signed with the new Italian partner (IOFA) and officially approved by the Croatian NA ( Dodatak br. 2 Sporazumu o dodjeli bespovratnih sredstava za projekt 2021-1-HR01-KA220-VET-000033115). The 1st instalment (40%) will be transferred in the following days.

The 2nd instalment (40%) will be transferred to all partners after evaluation of Interim report

An excel sheet will be provided by the coordinator for all partners to keep record of their budget spendings

Time Sheets for IO1 shall be signed, stamped and uploaded to GDrive until October 2022

Project Management Guidelines
-
Goals of COPEFA project have been once again summarized as well as the project’s main goals – to enhance and encourage learners, teachers and local farmers to use pesticides more consciously with the help of our e-learning platform and mobile app.
IO2 content
-
BSEU prepared the content and framework for the mobile application (IO2) and presented it to all partners. The completed file will be uploaded to GDrive.

Some changes have to be done by URE (Germany) regarding the data base of crops
-
The final version of the framework will be done until December 2022 or before.

General overview of the project timing / Next steps and deadlines

All project activities are in timeline with deadlines

Project’s web page will be translated by SŠDalj till 15 October, 2022

All PDF content will be translated for the web by each partner in their language until the next meeting in December.

The e-learning platform should also be translated into all partners’ language (if not automatically, the translation will be done by each partner for their language)
Quality management and monitoring
-
OMEM partner will be responsible for Quality management and monitoring.
-
For each TPM an evaluation (google forms) should be done; also IOs shall be evaluated – the e-learning platform and the mobile application should be tested and piloted in high schools in Dalj and Alexandria. SšDalj (Croatia), LTNB (Romania), IOFA (Italy) and OMEM (Turkey) will pilot and evaluate IO1 and IO3 in their schools and disseminate to local, regional or other European partner schools to test and evaluate. Evaluation questionnaire should be sent to teachers and students who will be part of the piloting.
Piloting and evaluation of IO1 – e-learning platform shall be done until next TPM (December 2022).

Dissemination / Dissemination Sheet

Each partner should disseminate the project results on local, regional, national and if possible on European level.

OMEM will share on GDrive a sample for dissemination track list. Every partner will be responsible to add their dissemination activities.

LTNB is responsible for creation and distribution of Newsletter – 1st is to be done in October/November 2022, and the 2nd and 3rd during the second year of the project.
Web page
-
SšDalj is responsible for the development of the project’s web page. The domain and name, as well as content shall be updated – by end of September 2022.
E-Twinning
-
LTNB is responsible for creation of the E-Twinning project. The partner presented some ideas and a draft of the project. SšDalj will help create activities and implement the E-Twinning project.
At the end of 2nd day the 2nd TPM was closed with a certificate ceremony and a farewell speech of OMEM’s director.
Also, sightseeing tours around Bursa, learning about local food and culture was very well organized by the host.
COPEFA TPM IN BAGNOREGIO, ITALY
15 – 16 December, 2022
COPEFA TPM of our project was hosted by our Italy partner, Instituto Omnicomprensivo Ili Agosti, Bagnoregio .
The working days passed quickly. All partners are satisfied with the working days. The atmosphere was pleasant and we managed to finish work tasks, obligations and we planed how and what to do in the next months.

Activities and project progress overview

The coordinator (Ivana Bertic Bulic) present the situation of the project and activities done so far.

The Interim report has been sent (end November 2022)

Danilo Calabrese presented and updated the partners on the progress made on the e-learning platform (IO1) www.copefa.eu.
-
The platform is now translated in 10 different languages, contains 4 topic areas and in the “challenge” section users have the chance, once they are logged in, to complete a knowledge quiz and get a certificate.

The Turkish partners (OMEM and BILECIK) suggest to proof read the automatic translation of the platform
Newsletter / project’s web / e-Twinning
-
the Romanian partner was responsible for the newsletter and completed their tasks successfully. The newsletter has been uploaded also on the project’s webpage and is ready to be disseminated. Every partner should send the Newsletter to contacts relevant for the project topic and dissemination of project results.

For the purpose of e-Twinning project, the Romanian partner once again presented the e-Twinning platform and how to use it. The Italian partner - English teacher will be responsible in their school for joining the e-Twinning.
Implementation of IO1 / piloting in schools
-
Now that IO1 (the e-learning platform) is ready to use, it can be tested in schools. Teachers of agriculture will prepare lessons according to the students’ age and knowledge level and use the platform in class to test its functionality.
Friday 16. 12. 2022
IO2 (Framework for mobile App)

Partners from BIlecik Univeritesi finalized the Framework for the COPEFA mobile App.
-
It has been suggested and agreed on that all partners shall translate the Framework into their language (due in 2 weeks from the meeting)
IO3 - Mobile app
-
Melika Mehriar from URE (German partner) presented IO3 - COPEFA Mobile application in Beta testing version for Android (the test version for IOS will be ready by the end of February). The final version of the App for both, Android and IOS will be presented at the TPM4 in Romania.

a test phase will be done by a group of students and teachers. Also necessary for the App is a dedicated server for the data storage of the web page and app information
next steps / TO DO list

the next TPM will be hosted by the Romanian partner during February 2023 (23. – 24.2.2023.)
-
all partners are invited to disseminate the project activities and results, to keep record of necessary documents, to regularly keep in touch with partners and report any problems or issues in implementation
At the end of 2nd day the 3rd TPM was closed with a certificate ceremony and a farewell speech of the hosts.
Also, sightseeing tours around Bagnoregio, learning about local food and culture was organized by the host.

COPEFA TPM IN BUKUREST/ALEXANDRIA
23 – 24 February, 2023 – 4th TPM
COPEFA TPM of our project was hosted by our Romania partner Liceul Tehnologic Nicolae Bălcescu Alexandria, .
The working days passed quickly. The atmosphere was pleasant and we managed to achieve the planned activities and results.

On the first working day 23.2.2023, the following points have been discussed and partners concluded the following:

After opening ceremony and welcome speech of LTNB headmaster, Agenda has been presented by the host.

The following points and decisions have been discussed and made:

The coordinator SšDalj made a overview of all the activities done so far and the list of tasks that had to be completed by this meeting
-
The responsible partner for setting up the E-Twinning project was LTNB and Sš Dalj– they presented the project, the activities done so far and invited the Italian partner to join the project, giving instructions how to register once again.
-
In the end of the first meeting day, partners concluded that although some activities are delayed – the e-learning platform and its piloting phase, most of the activities are being successfully implemented so far

On the second working day 24.2.2023, the following points have been discussed and partners concluded the following:
-
The responsible partner for PR4 the COPEFA mobile application is URE. They presented the beta version of the application once again so the partners can check language and other features before launching the final version of the application on Google Play and Apple Store. Some changes have to be made – terminology, logo of the application.

SšDalj is responsible for PR5, the COPEFA Guidebook which is due in May 2023. They presented a rough draft of the Guidebook. It was agreed that the Guidebook shall be uploaded in word in English to make it easier for all partners to translate and proofread it in their national languages.

LTNB partner will prepare the 2nd and 3rd Newsletter and distribute it.

The project website was checked; partners agreed that it has to be regularly updated and more promoted in order to increase visibility of the project and project results.
-
To sum up all relevant points, the coordinator shared a TO DO list for all partners to complete in the next period and before the Final meeting in Berlin, Germany.
At the end of 2nd day the 4th TPM was closed with a certificate ceremony and a farewell speech of LTNBs director.
Also, sightseeing tours around Alexandria and Bucharest, learning about local food and culture was very well organized by the host.


COPEFA FINAL MEETING Berlin 19-20 October ,2023
COPEFA Final TPM of our project was hosted by our German partner URE – Berlin.
The working days passed quickly. The atmosphere was pleasant and we managed to achieve the planned activities and results.

Read below how the working part went and which agenda topics we worked on J
On the first working day, the following points have been discussed and partners concluded the following:

IO1 e-learning platform - IOFA representative Michele and Paola Adami once again presented the LMS final version to partners. All sections/topics have been checked and are available in all partners’ languages (Croatian, Turkish, Romanian, German, Italian) and English.
-
An additional folder has been created on GDrive - IO1 - Platform Piloting - all partners will upload photos from the piloting phase with students/ teachers
-
According to what is written in the submitted form, at least 500 students and 100 teachers should have registered and used the platform for teaching and learning. In order to meet the expected numbers, all partners will disseminate IO1 to other schools/universities.
-
The total number of registered users and certificate holders will be checked once again by end of November before conducting the Final report.

IO3 Framework
-
The responsible partner - Bilecik Universitesi once again addressed the partners to check the translation of the English version and check its’ alliance with the Mobile app. IO3 can than be marked as successfully completed.
